Client Story

Evacuation Preparedness

Man sharing during workshop

Overview

A Workforce Stranded Amid Regional Disruption

For organizations operating in complex regions, the safety of employees and their families is a top priority. Our UAE-based client recognized the importance of proactive evacuation planning, particularly during periods of regional instability. Having established a comprehensive evacuation plan with us in 2020, the plan was reviewed and updated in 2023, well in advance of any regional escalation.

Problem

The primary objective was to communicate specific emergency procedures to a diverse group of employees and their dependents. This involved providing actionable instructions and clarifying their established protocols to ensure all personnel were fully aware of the support available to them.

Solution

A Multi-Layered Approach to Evacuation Readiness

Following five months of strategic planning, our local experts delivered a briefing on the local evacuation plan. The session focused on the technical and logistical components of the updated 2023 evacuation strategy, providing detailed information on several key areas:

  • Evacuation Levels and Triggers: Defining the transition from "Warning" (authorizing commercial departure) to "Stand-by" (relocation of families) and "Evacuation Imminent" (movement to a Port of Departure).
  • Defined Responsibilities: Outlining the dual responsibilities of the Crisis Management Team, such as securing chartered aircraft and the evacuees, who are responsible for maintaining valid travel documents.
  • Operational Procedures: Explaining the "Standfast" protocol, implemented when routes to the Port of Departure are unsafe, and the criteria for relocation to an International Safe Haven.
  • Personal and Family Preparedness: Providing a Departure Checklist that includes essential household tasks and a Packing Checklist for essential items and documentation.

Impact

Building a Resilient and Informed Workforce

The delivery of this briefing ensures the client's workforce is prepared for various contingencies, including natural disasters, essential service disruptions, or an escalation in regional conflict.

By prioritizing "peacetime" planning, several key outcomes were achieved:

  • Risk Mitigation: Ensuring that if conditions deteriorate, the response is immediate, coordinated, and familiar to all stakeholders.
  • Optimized Response Time: Reducing the potential for panic or delay by establishing clear communication channels and individual responsibilities well in advance of a crisis.
  • Duty of Care: Strengthening the relationship with the workforce by demonstrating that Duty of Care is a lived priority, integrated into their emergency protocols.
